Why This Role Exists
Strong fundraising requires strong systems. Our clients depend on reliable infrastructure — clear deadlines, organized research, up-to-date tracking, and prepared materials. When those systems are steady, leaders can focus on strategy, relationships, and mission instead of scrambling to manage logistics.
This role exists to build and maintain that steadiness. You will centralize grant information, track reporting timelines, organize research, and ensure materials are prepared in advance. Your work strengthens the operational backbone that allows our clients — and our team — to move with clarity and confidence.
Fundraising is a complex system. We work within it thoughtfully and responsibly. The details matter because they build trust — with funders, with partners, and with the communities our clients serve.
This is infrastructure work. It is structured, behind-the-scenes, and essential.
What You’ll Do
1. Grant Infrastructure & Stewardship
• Maintain a centralized grant calendar across multiple clients
• Identify upcoming deadlines 4-8 weeks in advance and communicate any anticipated bottlenecks.
• Keep grant tracking systems (GEMS and client CRMs such as Bloomerang) current and organized
• Track reporting requirements and submission timelines
• Provide a clear weekly summary of grant status and updates
2. Research & Narrative Support
• Conduct prospect and grant opportunity research aligned with client priorities
• Gather and organize relevant data, background materials, and supporting information for proposals and reports
• Review internal archives to identify strong past language and recurring themes
• Organize narrative elements into structured internal boilerplates and templates
• Prepare application materials, attachments, and submission checklists in advance of drafting
3. Systems Integrity & Confidentiality
• Maintain organized digital files and shared documentation
• Handle client financial and strategic information responsibly
• Follow confidentiality agreements and established data practices
• Contribute to consistent internal documentation and file naming systems
Who You Are
You are someone who:
• Can keep track of details across multiple projects and deadlines
• Has experience working with grant systems or CRMs (Bloomerang preferred; willingness to learn GEMS required)
• Communicates clearly about status, timelines, and next steps
• Asks clarifying questions early. You communicate when timelines feel tight. You do not carry confusion alone
• When deadlines stack up, communicates clearly and helps prioritize
You appreciate well-run systems. You understand that organized infrastructure supports strategy, relationships, and mission. You take satisfaction in building processes that reduce stress and increase clarity for others.
What Success Looks Like
First 30 Days
• Learn internal systems and client tracking tools
• Review active grant calendars and reporting timelines
• Begin updating and organizing tracking systems
• Establish a weekly status update rhythm
By 60 Days
• Independently maintain grant tracking across assigned clients
• Conduct prospect research and prepare organized briefing materials
• Identify gaps or inconsistencies in tracking systems
By 90 Days
• Independently maintain grant tracking systems and provide weekly status
updates within agreed-upon workflows.
• Anticipate deadlines and flag needs proactively
• Contribute to improvements in documentation or workflow clarity
Structure & Compensation
• 1099 contractor
• 8–10 hours/week
• $40–$50/hour depending on experience
• Fully remote/Hybrid (Twin Cities/MN-based welcome in our Saint Paul office)
• Initial 90-day agreement with potential for growth depending on business needs
This role is designed as ongoing part-time contractor work. It is not currently structured as a full-time or benefited position. Adjustments to scope or hours would be based on client workload and mutual agreement.
